Order Processing

In any Stock Management System, the Sales and Purchase Order process form the core element of Stock movements.

The Intact Purchase Order processing feature has many intuitive features that allow for effective replenishment levels to be maintained. Purchase orders can be generated automatically or manually and sent via EDI or by simple email to the Supplier showing their Product Codes and descriptions if required.

On the Sales side, an Order can begin life as a simple Quotation which can be turned into an Order, or directly to an Invoice at the touch of a button. Orders can have multiple deliveries against them and these are clearly linked and viewable within the system. Part Supply, over Supply, Held Orders etc can all be easily managed with clever use of Sales Order status codes. Quick Stock checks are available on a single key stroke on Orders and Quotes and up to date Stock Level information is available at every stage.

Invoicing

Ask the owner of any small or medium sized business what the most important thing in his business is and his answer will be “Sales”. A sale is registered when an invoice is sent out – it may sound logical but that’s the basics.

Intact offers a variety of options when it comes to Invoicing.

Customer Relationship

Managing your relationship with your customer can take many formats. Traditionally, a personal contact from the owner manager was subsidised by the regular visit of the Sales Rep. Many companies place trust in the good nature and professionalism of the Sales person but smart companies will follow this up with a certain level of control and monitoring.

Intact has an integrated Customer Relationship Module which provides you with the facility to record instances of communication between your company and the customer. Communication can be via Email, Fax, Letter, Telephone or in person and the CRM allows you to record all activity.

This can be enhanced to provide your Customers with a web interface which allows them to query their account on line. Stock Control

In any Wholesale, Retail, Distribution or Light Manufacturing business, Stock is the centrepiece. Stock information is always accurate and easy to access from almost any screen. The system keeps a running tally of Stock Levels – both actual and effective – effective stock takes reserved and on order stock into consideration.

Maximising profit margin is key to the success of wholesalers and distributors. To more accurately calculate profit, expenses like shipping or duty must be added to material costs. Intact offers the choice of costing method – last, weighted average, landed, fifo to give smart companies the options.

Maintaining effective Stock levels is an important factor in Cash Flow management. Using Intact, slow moving stock is easily identified and replenishment levels can be automatically calculated. Aged Stock Reports are given the same importance as Aged Debtor information giving the user every opportunity to move old stock on.
